Group Bookings - Guidelines

Should you experience difficulty in creating a booking in Drop Through, or you are booking a BA group for the first time, and you have not yet registered for a Drop Throug profile, we now offer you the possibility of requesting your group bookings via email on :

Group Definition

All bookings with a minimum of 10 passengers who travel together on at least one sector to or from a destination qualify as a group booking.

Availability and Rates

GDS Automated Systems

For information regarding the automated tools in th e GDS, please refer to separate Groups Automation information pages also in Speedbirdclub: AmadeusGalileoSabre, Worldspan.

We can book group space, subject to availability , within 350 days of departure. Dates outside this system range cannot be booked, nor can estimated rates be quoted.

As mentioned above, the preferred method of booking British Airways groups, especially if you work on Amadeus, is to create a PNR request using the GDS automated tools, enabling you to check availability and receive fare quotes.

Seats must be requested in the applicable booking classes which are:

  • G/class in World/Euro Traveller
  • T/class in World Traveller Plus (Feeder G/class)
  • I/class in Club Europe/Club World
  • A/class in First (Feeder I/class)
  • Reservations in other booking classes will be cancelled by the system automatically.

    "It is strictly forbidden to book groups space directly in the normal availability display. All groups bookings must be requested as above including small incremental requests to existing bookings. British Airways groups department will then confirm or counter your request."


    Alternatively, an IATA agent is allowed to book a maximum of 20 seats at published rates for passengers travelling on the same flight(s). All conditions of the published fare apply, however, the ticketing deadline is 72 hours after booking in any case. This so called “Instant Proposition” is valid for shorthaul and longhaul flights.     Group Size

    Generally speaking, groups are defined as a minimum of 10 pax who are travelling together to the same destination on at least one international sector.

  • Commitment:

    Depending on the size and destination of your group, we will require you to commit 60 days ( long haul ) or 40 days (short haul) before departure. If you do not already have a contract with us, allowing us to charge per ADM for guaranteed seats that are cancelled after the deadline, you can apply for one by clicking on the link below.

    Having signed a contract agreeing to use the ADM process, you will be billed, if appropriate, after departure.

    If you are unsure, please check internally with your group department if they have signed a contract with BA.

  • Since you may not read the drop-through queue regularly, you must enter your email address in the PNR group request. We will then send you a reminder of the guarantee deadline per email. Failure to reconfirm by the deadline will result in automatic cancellation.

  • PNR Claim

    AMADEUS AGENTS:
    Please advise your Office ID. We will grant you read/write access to the PNR to enable you to issue the tickets

    GALILEO & OTHER GDS AGENTS:
    PNR claim is not possible. Please create informative PNRs in your booking system. These must be cancelled after ticketing, informative cancellation only

    e-tickets

    Electronic tickets must be issued whenever possible and ticket numbers need to be provided to British Airways groups department. ould you issue E-Tickets on passive bookings it is essential that the ticket numbers are notified in the live PNR (done by BA).

     

    Travel Restricitions

    Please make sure that all passengers are aware of the applicable visa restrictions of their destination and/or the transit country. British Airways will not accept passengers who are not in possession of all the necessary valid travel documents.

    We remind you to collect APIS information from your customers for countries that require it (e.g. USA, Canada, China, Mexico, JNB, DXB, BKK, Jamaica, Kenya, Syria & Iran).

     

    With the receipt of your group booking offer you accept the conditions as defined above
